Brand Name Filing Cabinets

Filing cabinets are a large part of today's offices. Although digital files are dominant in our workplace, it will be a long time before we rid the office of paper files the need to warehouse them. Hence, the continual need for quality brand name filing cabinets.

With experience in the receiving and shipping, time logged as an office manager as well as a home office computer geek selling goods online, I can speak for the need of and importance of filing papers, invoices and accounting bills so that they can be found at the drop of a hat.

Here are four ideas to help you in establishing and maintaing a decent file system.

  1. keep only what is necessary

    a. do you have duplicate files in digital format

  2. destroy unwanted paper files

    a. shredding is best

  3. file routinely

    a. make filing documents a daily job

  4. be creative when setting up your file cabinet system

    • a. alphabetizing is typically suitable for most businesses

    • b. consider two file cabinets- one for frequently used

      documents and another for seldom used documents

Only keep in the file cabinets papers and documents that you cannot do without. There is no sense in maintaining a file system with drawers full of papers that no one has a use for (e.g., a print out of all of your email).

Many documents can be destroyed after a certain amount of time. For instance, it is not necessary to keep most accounting information for more than seven years. That in itself can reduce the load on your filing cabinets not to mention if you have to move.

Incorporate filing as a daily duty in the office. It may be you or you may be able to assign that job to someone else, but it is necessary to maintain organization in a file system. Once begun, it becomes a ritual rather than an annoyance.

Shop around for file cabinets before you make the purchase. You will find many different styles and sizes, so you want to be sure to buy the system that best fits your office storage needs. Office Depot and Staples are good places to start shopping. Office Depot even has a business division for those that need larger filing office systems.

You will find that after your filing system is setup and in use, your day to day office activities will run much smoother and you will spend much less time chasing the documents and information that you know you have, but could not find in the past.
